Manage User in TimeTec Patrol



Introduction
Managing users is often overlooked. Dealing as an easy part of a system setup, however, it becomes crucial for users who are going to employ the system. It grants users the amount of time to access the system. TimeTec Patrol provides an easy solution for managing your users without any major hassle.

Managing Users
1) Firstly, select a user from the main system panel at the top. A drop down box will then appear. Next, select the Manage User tab for further editing.

2) The following manage user page will be launched as figure shown below.

Adding user
1) Go to manage>add user tab to proceed of adding user.

2) Proceed in adding new user information into the respective fields.



Note : Fields with an asterisk are compulsory fields.

Import user
1) Another way of adding users is by importing user data from an excel file into the TimeTec Patrol software. Importing users from an excel file is generally used for companies that have a large amount of users that need to be synced into TimeTec Patrol quicker.
2) Firstly, go to Manage> Import User.

3) Click on Download the example excel sheet.

4) Follow the template and fill in the respective field for new users information. Note that the important fields in the adding user page also applies to the import of user template.


Delete User
1) To delete a user, select relevant users and go to Manage>Delete User.

Note : After deleting a user/ users, the process is irreversible and the User ID cannot be used anymore.

Editing User information
1) To edit users information, select the user > select the Pencil logo located at the right side of the user data to enter the editing user page.

2) Admin will be directed to the editing user page. Start editing user information by selecting the pencil button on the right.
3) Admin can also reset the user password from this page if the access is granted.


Note : Besides deleting a user/ users, the admin can also deactivate the user if the admin wishes to reuse the User ID rather than creating a new one in the future.

How to Invite Visitors using the TimeTec VMS App



Introduction
TimeTec VMS offers an automated visitor management system where all visitor information is screened before visitation. It is to provide a safer environment for the company. In this article, we will explain the required steps for users to invite their visitors using the mobile version of the TimeTec VMS.

Process
A. User Create Invitation for Visitor
1. Once you log into the account, at Home, click on the Invitation icon
2. Fill in your visitor information as shown below (Name and optional fields such as ID/Driving Licence No. and Car Plate No.)

3. You may select the type of visit as either One-Time or Multi In-Out. If your visitor requires to enter in and out from your company multiple times a day, admin can select the latter to ease the admission process for the specific visitor (e.g. Select one day pass when visitors plan to leave the premise half way through and re-enter again to resume activity)

4. Select the expected arrival date and time of your visitor. Please also select the expected departure date and time if Multi In-Out is chosen.
5. An approval message shown below will be prompted once you have successfully created the invitation. You may send the invitation link to your visitor by clicking the Send button.

6. An invitation link can be sent through Email, Whatsapp, Telegram, Facebook Messenger or any other form of online media platform.

B. Visitor Accepting Invitation and Generating QR Code
1. After the user has sent out the invitation link according to the stated method, the visitor will receive the invitation link as the attached sample below.

2. Visitors will need to click on the invitation link to review the details of their visit and generate the QR code to present upon arrival.
3. Click on the Edit button if the visitor intends to change their Car Plate No, No. of Visitor, or Visitor pass information.

4. Visitors will have the option to print out the QR code. Alternatively, they can also take a screenshot of the QR code to facilitate the registration process by presenting the code during the time of their visit.

Add Your Tenant Details in i-Neighbour (for Rental house/unit)



In this article, we will demonstrate the steps to change your house status from “owner” to “rental” (by admin/management only) and the steps to add your tenant details and their phone number as the intercom number. This is to ensure all tenant details will be recorded in the i-Neighbour system before they are permitted to use the i-Neighbour mobile application.

Also, the guard will be able to call directly to the master tenant whenever a visitor shows up. This feature upgrade is also done based on the feedback most house rental owners had submitted, given to the fact the guards always ring them at the first place whenever his/her tenant has a visitor/visitors.

Step 1 - Change your house status from “Owner” to “Rental”

To change the house status, contact your management/committee directly.
Upon successful changes, the status will be changed from owner to rental.
(i-Neighbour Apps > Profile picture > My unit)


Steps 2 - Add your master tenant/tenant and invite them to use the i-Neighbour apps

Master Tenant - Unit owner for the rental unit (For example: the father)
Tenant - Add other family member(s) (For example: the wife, the daughter or the son)

To add Master tenant > Press the BLUE icon > Key in the NAME > Select RELATIONSHIP > Submit > Share the link to the master tenant > Wait for master tenant’s account to be activated

Note :
1. By default, the i-Neighbour system will only allow the house/unit owner to add in the master tenant and tenant. If the master tenant wishes to invite his family members to join the i-Neighbour apps, the house/unit owner will need to add and invite via his i-Neighbour apps.
2. If the management enables the features that allow the master tenant to add in new tenant(s) by himself, the master tenant can then add in new family members individually whenever is required.

Steps 3 - Add tenant(s) telephone number for intercom used

To add intercom number i-Neighbour apps > Profile picture > My Unit > Contact No. > Click on the Pencil icon.
1.1 Add tenant name and contact number
1.2 Turn off ‘Enable for guard viewing' for owner contact number. (Security will see the tenant contact number as the first contact on the i-Vizit tablet). Once it is turned off from the guards’ viewing, a prompt message will emerge on the screen for owners to confirm and save.

Note: Before turning off/disable the owner contact from guard view, make sure the master tenant has activated his account. The system will not allow the owner to disable contact from guard view if the tenant account is still not activated.
