TimeTec TA Roster Overview: A Powerful Feature to Manage Workforce’s Activities On A Calendar

Introduction

Roster Overview is a new feature that has been included in our latest release of TimeTec TA. This option can be found in both Administrator and Normal User views. 


Benefits


By using this feature, the administrator and users will be able to view attendance related data one centralized, simplified and organized way. They can also check their schedules, off days and leaves in one page.

Process

Administrator View

Administrators can go to 'Home', and click on "View Roster" to access this module. 




By using this Roster Overview, administrators will be able to:

1) View all the schedules and users that are working in a particular day.



a) Once the administrator clicks on the schedule number, the overview details of the schedule, and the users that are using it will be displayed, as shown below:



b) If the administrator wants to save or print this data, click the “Print” button to generate a PDF file, ready for printing.

2) View the list of employees that are off-duty, with their leave remarks.

a) By clicking on the Leave icon at the top-right corner of each date, the administrator will be able to view the list of Off-Duty users, with their leave types.




b) They can also view the users that are on their Rest Days.


3) Add simple notes (Maximum 250 characters) to the calendar.

a) To add a note, the administrator can simply click the date on the calendar, and key in the note on the left panel. 



b) Once done, they can save the notes, and edit the notes if necessary later on

Normal Users View

For normal users, they can view the Roster Overview by clicking on the Roster tab in their homepage.


For normal users, they will be able to:

1) View their own duty calendar of the year.



2) View the Work Hours, Short Time, and Over Time of past dates.



3) By clicking on the calendar’s date header, users will be able to see the summary of their schedule setting and the details of their work time on that particular date.




4) Add simple notes (Maximum 250 characters) to the calendar.

To add a note, the user can simply click the date on the calendar, then key in the note on the left panel.

Configuring Access Level of Every Terminal in Ingress for Better Security Control of Your Premises

Introduction

Access level configuration helps clients to secure their system because they can set different Access Level for each authorized user according to the time zone. With this feature, you can limit the access of your devices to specific times and combinations of verification type in Access level, enhancing security of your premises.

Advantages
By configuring the Access Level, the security mechanism for your premises is tightened to prevent it from being invaded by any unauthorized individuals.

Process
A: Configure Door Settings
Create a door in Ingress, then  assign your device to that door.


B: Configure Time Set 
• Default Time Set Configuration

• Adding your own preferred Time Set
Click Add Time Set and configure the time intervals where users are allowed to access the door. Define the start and end time applicable for this Time Set. You can configure up to 3 different time sets in a day. 

Note: User can only access the door within these 3 intervals and cannot access the door in between the break interval of these 3 time ranges.
Click Save to save the settings. Once you’ve done configuring all the Time Set settings, click Transfer All Time Set to Device to synchronize all the settings to the devices. 

C: Configure the Access Group
As an example, for 3 terminals [3 doors], you can have up to 7 possibilities of Access groups: 
1. Access 1 – Full access, can access all doors
2. Access 2 – Can access Door 1 and Door 2
3. Access 3 –  Can access Door 1 and Door 3
4. Access 4 – Can access Door 2 and Door 3
5. Access 5 –  Can access Door 1 only 
6. Access 6 – Can access Door 2 only
7. Access 7 – Can access Door 3 only
Click Add Access Door. In each Access Group, you can select your preferred Door, Time Set and Combination of Verification Type for each door.




Click Save to save the settings and Click Transfer to Device to synchronize settings to the devices 
6) Once done, please assign relevant users for each access group
Access group > Edit > User > Add > Select your user > Ok > Save > Click Transfer to Device
Note:  Every user can only be assigned to one access group only
After the users have been added in each access group, you may select Transfer All Access Group Device to synchronize the whole settings to the device.

Ingress - Multiple Device Operation With One Click : Manage Many Devices Remotely Hassle Free

Introduction

FingerTec has released the latest update of Ingress (version 3.0.6) which includes 22 enhancements and 7 bug fixes. One of the new features added in the release was the option to manage multiple device operation simultaneously.
This feature is available in Device tab > Batch Device Operation.
To get this version, you can upgrade your software online by selecting the Software Update or download the Installer from here.

Advantages
For system administrators, this feature can greatly help them to control devices that are located at difference places more effectively. For example, if any of the terminals are not responding or the system hangs, restarting or turning off the device can be done remotely from Ingress.

This feature can help to shorten troubleshooting time and they don’t have to do it manually on site.

There are 6 options available in this feature. All these operations are manageable through Ingress without anybody having to physically be at the site where the device is installed:

1. Power Off Device - Use this option to turn off terminal

2. Reboot Device - Use this option to restart terminal

3. Synchronize Date & Time - Use this option to synchronize Date and Time at the terminal, to follow the Date and Time on your computer

4. Clear All Device Data - Use this option to delete all data (only for User Data and Transaction Logs). The confirmation message will appear when you select this option because once you have agreed to clear the data, it is not retrievable (Refer to Pic 2)

5. Clear All Log - In Ingress, we have an option to not removing any transaction logs from the terminal during download process. This option would cause storage and terminal memory to be maximized. Use this option to clear all the transaction logs without effecting the user data. The confirmation message also will also appear when you select this option (Refer to Pic 2)

6. Clear Admin Privilege - Many client have reported to us that they cannot get access to Menu option on the terminal because they forgot their administrator password or the person in charge resigned from the company. Use this option to clear all Admin Privilege inside the terminal and get an access to Menu option again to create a new Admin. In other situations or for security purposes, if you have users with other privileges and you do not want them to access to this feature, you can control their role by going to Ingress > System Settings > User Roles > select Edit Role > Devices > uncheck the Device Batch Operation.

However, you will need to consider the role carefully before allowing or blocking any users to take on the role. This individuals might be able to remove other users or change the settings if the settings are turned on. For details about User Account and User Roles you may refer here.

Ingress Software Updates – V3.0.6

FingerTec has released the latest update of Ingress (version 3.0.6) which includes 22 enhancement and 7 bug fixes. This version is now available for download from our website as well as online update directly from the software itself.

1.     Added “Show Zero Hour” option in Daily Attendance Listing Report and Weekly Attendance Listing Report.

 

2.      Rearrangement of the Modules
       We have rearrange the User Module to be before the Devices Module for easier operation.
 

 
3.      Revamp and categorized the Setup Wizard according to its own group
i.        Company and User Setup
ii.   Device Setup
iii.  Simple Schedule Setup
 
 
 

 

 
4.      Revamp Import from File in User Module.

 The header is now auto assigned when the file is uploaded according to the header.
 
 
 

 
5.      Added “Overtime if total flexi hour exceeds hour of” in Simple Schedule Setup for Flexi Schedule.
 
Added the option so that when users uses the wizard to set up flexi schedule, this option can be easily set.
 
 
6.      Added new payroll module.
Added new payroll model for 3 countries.

      7.      Added warning message before transaction is deleted when User ID is updated.
 
When the User ID is updated, the system will prompt a warning message before deleting the old transactions and uploading the new ID to the terminals. 
 
 
 
     8.       Added Auto Reboot Device Option in Multimedia Management Tab.
 
Added the option for users to reboot terminal when multimedia content is uploaded to the devices in the Multimedia Management Tab in the Device Module.
 
 
 

9.      Added Back button In User Duty Planner and User Pay Class

 Back button is added to ease user to return back to user list.


 
10.      Added new Anti Passback features for Ingressus.
         
         Added the option for user to choose whether to use Force Open or Force Close Setting.
 

 

11.     Added Work Code Selection in Ofis TA.

               Previously, we have added the OFIS TA function to Ingress software and with this release,
               we have added the work code selection so that users that are using OFIS TA can utilize this
               work code option.
 
 
      12.      Added Batch Device Option
      
  Added this option to manage multiple device operation in the same time. The options
  available are Power Off Device, Reboot Device, Synchronize Date & Time, Clear All Device
  Data, Clear All Log and Clear Admin Privilege.
 
 

13.      Added Force Open/Close option for Stand Alone Device in Permanent Door Open Close
   Time Zone Module.
 
 
 
14.      Added Date Selection on all related form.
  Reports that are allowed to select the date range now comes with an additional feature  
  which is to select the Date Selection.
 
 

15.      Added “Do not Overwrite PC User Info if the User Exist in Ingress in Import from File and 
   Import from AD Tab.

  
   Added this option to prevent the existing user being overwritten when the user is imported
   from file or imported from AD in the User Module.
 
     16.      Added Password Hint and Strength when Setting Up Password.
 
 
 
 
      17.      Highlight Invalid Data Audit in Red in Data Audit List.

   When the raw data has been edited in the database, the particular record will be   
   highlighted in the data audit list so that we can know that the database has been edited.
   This options comes handy during troubleshooting for issue such as attendance not
   appearing correctly.


 
 


18.      Hide Attendance Photo Column when Search Result Does Not Contain Any Photo in Data
   Audit List.


 
19.      Hide Others Tab in User Page
  
          The ‘others’ tab will be hidden if there is no additional field added in Field Customization
    Tab in System Settings.
 
20.      Hide Camera column in Monitoring Module
  
   The camera column is hidden at the monitoring module when there is no camera added to
   the doors.
 
 
21.      Remember the Options/Settings for the last Generated Report.
  
   The software is now able to keep the settings from the last Generated Report so that user
   will not have to select the settings every time.
 
22.     Enhance the Speed when Processing Attendance in the Attendance Module,  
   synchronizing Terminals and when Downloading Huge Data From Ingressus.

 
7 Errors fixed:
1.       Fixed attendance data not highlighted in bold after edit.
2.       Fixed Edited clocking time missing after generate
3.       Fixed Work treat as Overtime not functioning
4.       Fixed attendance not displaying correctly when overnight range is in use
5.       Fixed auto start Ingress Server setting not functioning according to setting after restoring database
6.       Fixed "Excused" data missing after generating attendance
