Visitor Self-Service Panel in TimeTec VMS



Introduction
TimeTec VMS has a way to check-in and check-out visitors of premises lobby without a guard or receptionist assistance. A self-service visitor registration tablet installed with an i-Comm App is suitable to place at an unmanned lobby. When a visitor reaches the lobby, he/she can use the i-Comm to video-call the unit owner and get the host to approve the visit. When approved, the visitor can check-in and proceed to meet the host. Invited or pre-registered visitors may also use i-Comm to scan their QR codes from the visitation tickets to check-in. 
In this article, you will learn how to enable the visitor self-service panel on i-Comm.

Process
1.       Login to TimeTec VMS Admin account, go to Settings > General Settings > Kiosk > Add


2.       Insert the details of the i-Comm account to be used with the tablet.


3.       Once the account has been successfully created, proceed to the settings


4.       Configure the settings for the panel.


5.       On the tablet, go to Playstore to download and install the i-Comm app.


6.       When installed, open the App. Select i-Comm as the platform.


7.       Insert the credentials that have been preregistered previously.


8.  Now you can place the tablet at an unmanned lobby for visitors to self-register when they arrive.  For walk-in visitors, click on Walk-In to register self while the invited or pre-registered visitors can scan the QR code from their visitation ticket to check-in.


9.   For Walk-in visitors, click on Register.  Select the purpose of visit and insert personal details, and then Next.


10.    Select the Company and Staff Host to meet. 


11.    Call the host to seek a visitation approval



12. The Host will receive a call from a visitor via the TimeTec VMS App that has been installed on his/her mobile phone. Answer the call. The host will be able to view videos of visitors from the tablet. Click on Approve to let the visitor in. 



13.    For invited and pre-registered visitors that have a visitation ticket with QR code, click on Scan QR code upon arrival.


14. Scan the QR code from the visitation ticket to check-in. Submit. A check In successful message will appear on the screen. Snap a photo of the QR Code clearly for the checkout process.

How to link i-TimeTec Smart Alarm with i-Neighbour



Introduction 
i-Neighbour residents can now connect their i-TimeTec Smart Home Alarm with the community i-Neighbour’s i-Vizit Guard House Panel. Whenever their home alarm is triggered, it will send instant notification to i-Vizit Guard House Panel. The guard will know the unit number and send someone to check it immediately. 
Follow the 5 steps below to connect i-TimeTec Smart Home Alarm with the community i-Vizit Guard House Panel.

Process
Step 1:
In i-TimeTec App, after configuring all smart alarm devices at i-TimeTec App, go to “More”, tap “Connect to i-Neighbour”


Step 2:
Tap “+” to connect your home security alarm to your i-Neighbour account.


Step 3:
Pair up account by selecting location of your alarm (which will be listed in the drop down selection) and the smart gateway.


Step 4:
Enter your i-Neighbour login account and password. Tap “Next” to continue.


Step 5:
The dropdown selection will show your unit no. and your community name, select it and tap “Confirm”. It’s that simple -- Your unit is now protected! If the alarm is triggered, the i-Vizit at the i-Neighbour Guard house will send an alert instantly!

Exporting Leave Data: Configuring Export Templates in TimeTec Leave



Introduction
Users can export the leave data into a template and format of their preference. The leave export formats are divided into 2 general forms schema which are Detailed and Summary.

LEAVE APPLICATION SCHEMA
With the leave application schema you can export the leave details of all users. You will have to define the position arrangement and the length of certain data fields before exporting the leave data.

USER LEAVE SUMMARY SCHEMA
User Leave Summary schema exports all users’ leave summary. Define the position arrangement and the data type/size before exporting the leave data.

Process
A: Leave Application Schema Template Configuration
1. In your TimeTec Leave account, go to Leave > Export Leave> Click on Leave Application Schema.

2. The Leave Application Schema module displays the following information:
Position: Enables users to select the order of the data fields (column-by-column)
Description: name of each data field as a header.
Size: The length and the maximum number of characters needs to be carried to the export file for each data field.

For example, the order of the data for the 3rd party system is this:
1 - TimeTec User ID (9 = 9 characters max)
2 - Employment ID (15 = 15characters max)
3 - Name (30 = 30 characters max)
4 - Organization Structure (30 = 30 characters max)
5 - Group Duty Roster (5 = 5 characters max)

Therefore, in the table below you need to determine the position and the size of each data field appropriately.

3. Data Field Module
After the position and the size of the required data fields at every module is set, click “Save” to move on to the next data field module. In case you don’t want any of the data fields to be exported, leave the Position blank. Every data field has a default Size value that can be changed up to max 99.


4. When the data field Position and Size are set, press Save to be directed to the Export Leave module. From the Export Leave Module, Select the Date Range, and User ID(s), then click on the “Submit” icon, the system will generate the export file based on your choice.



B: Summary Schema Template Configuration
1) At your TimeTec Leave admin account, go to Leave > Export Leave > Click on the Summary Schema.


2) The Summary Schema contains different data field modules. However, for the data field setup and configuration, repeat steps 2 to 4 of the Leave Application Schema Configuration.

3) At the Export Leave Module click on Select then choose >select  the date range and Users > Submit.

QR Code for Invited Visitor - The Types (One Time or Multiple), Time Range and Validity for i-Neighbour



Introduction
In this previous article (https://bit.ly/3giwYZe), we already show how to send invitations and how visitors fill in their information, then receive a QR code.
This article provides some questions on determining whether the QR Code invitation can be used one time or multiple times and how to check the QR code validity.

Question 1 - What are the differences between QR code for invited visitors and normal visitor walk-in registration?

Invited Visitor
Walk-In Visitor
Provided with a QR Code
Does not have a QR Code
The QR code already have visitation details (Car Plate Number, Street Name, Unit Number)
The visitor must inform the correct details to the security guard (Street Name. Unit Number, Owner/resident name)

Guard needs intercom to get a permission from owner/resident


Question 2 : How to determine whether the QR code has one time or multiple times validity?
This is a one-time QR code having only one date and time


This is a multiple times QR code, having a start and expiry date.


Question 3 : When a resident invitation is scheduled at 3PM, must the visitor come sharp at 3PM or it doesn’t matter?
Yes, the time range applies for Check-in based on the invited time. 

By default, the time range is 1 hour before and after the scheduled time. However, the i-Neighbour admin can change to a maximum of 6 hours. So if the time is set at 3PM, it also means that the visitor can come between 2PM to 4PM. And in the invitation link also, the  QR code validity is stated. 



Question 4 : What happens if the visitor comes too early or too late, out of QR Code time range.
If a visitor comes to the guard house, but the QR code is already out of time range, the tablet located at the guardhouse cannot read it.
For example, this is a message shown on the guardhouse tablet.


For the solution - visitor can ask resident/owner to send a new invitation/new QR code or security guard can register using “Walk in registration”

Question 5 - If today a visitor has already checked-in using a QR Code, can he use the same QR code on the next day?
For one time QR Code, it can be used 1 time only.
For Multiple In Out, he still can use it until the date expires.
If a visitor gives an expired QR Code the guardhouse tablet will show this message:

How to Assign Task for Patrol Checkpoint in TimeTec Patrol



Introduction
In TimeTec Patrol, the Admin can add additional checking or tasks to be conducted at each checkpoint to ensure the guards pay extra attention when patrolling. These tasks can be controlled and customized by the Admin. For example, if a guard needs to check and verify whether a gate is locked or not, the question for this action can be set to appear after the guard has scanned at the checkpoint. 

In this article, we will guide you on how to set and assign the task for each patrol checkpoint in TimeTec Patrol.

Process
Login to TimeTec Patrol, click Routes > choose Location & Checkpoints


Click on one of the checkpoint > click Edit (pencil icon)


You may choose the type of action you wish to set for that checkpoint.
Display message –You may key in an important message as a remark or add a note for the guard. The message will be displayed after the checkpoint has been scanned. After configuration is completed, you may click save to proceed.


When the guard scans at the checkpoint, the message will be displayed as below.


Check and report incident – You may input information for each incident report. Tick the box and click Save. Note that the incidents to report selection list will be based on Incidents & Notifications settings. (https://www.fingertectips.com/2020/02/timetec-patrol-how-to-create-incident.html)


After the guard has scanned the checkpoint, the incident lists will be displayed for the guards to select and report.


Report the correct value – Here you may set up a question for the guards to answer. Click Save to confirm the setting. 



When the guard scans at the checkpoint, he will then have to insert the value as what is being asked in the question.


Answer Yes or No – A Close-ended question can be set up as well. Click Save to confirm the setting.



When the guard scans at the checkpoint, there will be a Yes or No question following the scanning.



Prompt guard for remarks – When the guard arrives at the checkpoint for a scan, the guard must place a remark before continuing patrolling.



For a checkpoint that has been set to prompt guards for remarks, the guard will be required to insert remarks after scanning at the checkpoint.


As above, an action can be established for each checkpoint. The guard must complete this action in order to fulfill the patrolling requirement. Changes of action can be adjusted or amended.
